Privacy notice
What this website collects, why, where it is stored, and the choices you have.
The short version
We collect what you choose to send us and what we need to run your account. We use it to answer you, deliver our services, and keep the site secure. We don’t sell personal information, we don’t add advertising or analytics trackers to this site, and we don’t send marketing email.
Who we are
Learn AI Advisory is a founder-led business led by Luke Johnston, based near Akron, Ohio. Questions about this notice go to admin@deploy316.com, an inbox we share with our partner business, Deploy 3:16.
What we collect
- Requests you send. Your name and email; optionally your phone number, organization, type of organization, role, staff size, meeting format, city and state for in-person meetings, and times that work; your description of the work; the page you sent it from; and the date and time. Each request gets a reference number.
- Account information. If you sign in, the sign-in service gives us your account ID, email address, and name. You can add a display name, organization, role, phone number, contact preference, and learning path in your account settings.
- Learning activity. Lesson progress, the exercise answers you choose to save, saved lessons, templates, and Briefing editions, and the questions you send us with our answers.
- Membership records. If you become a member, the dates of your membership, its status, the invoice or payment reference, a short note, who recorded it, and the owner’s confirmation of which full payment was received (the first year or a renewal) and its amount. The site owner records it only after the full payment: both first-year payments, or a renewal.
- Member password. Your personal member password is stored only as a salted one-way verifier (PBKDF2-SHA256), never the password itself, with when it was issued, by whom, and when it was last used to unlock. Each unlocked browser is recorded by a one-way fingerprint (a SHA-256 hash) of its unlock cookie, with when it was unlocked and when it expires.
- Private feed link. If you make a private RSS link for weekly member updates, we store only a one-way fingerprint (a SHA-256 hash) of it, not the link itself.
- AI answer box (members). When you ask a question, your question and the earlier messages in that conversation (up to three exchanges) are sent from our server to Anthropic, the company that makes the Claude AI model, to produce the answer. Anthropic processes this content on our behalf under its Commercial Terms of Service, which say it may not train models on customer content. This website doesn’t save your questions or the answers: the conversation stays in your browser tab until you start over or leave the page. We keep only a daily count of questions for each account, keyed to a scrambled version of the account ID, and a note of whether the most recent answer succeeded, without its content.
- Security records. To limit spam and abuse, we count form submissions and saved changes in one-hour and one-day windows. For anonymous requests the counter is keyed to a scrambled version of your IP address (a keyed one-way hash), never the address itself. Counters more than two days old are deleted automatically the next time the site handles a form submission or saved change, so on a quiet site an old counter can remain until then.
- Owner activity. When the site owner changes a request, answers a question, or edits a Briefing edition, the site records who made the change and when.
Please don’t send or type donor and giving records, counseling or pastoral care notes, prayer requests with personal details, personnel matters, payment details, health information, or anything about children into our forms or the AI answer box. We don’t need it, and the answer box sends what you type to Anthropic.
How we use it
- To reply to your request, schedule calls, prepare proposals, and deliver services you accept.
- To run your account: progress, saved items, questions, membership access, and the requests linked to it.
- To answer questions you type into the AI answer box, if you are a member.
- To keep the site working and secure, including stopping spam and abuse.
We don’t use your information or documents in our marketing or public examples without your written permission. When we use AI tools to help deliver a project, we use the minimum information needed, and your written proposal describes that use.
Sign-in and cookies
Accounts use the secure sign-in provided by our hosting platform, OpenAI, where you can continue with an email address, Google, or Microsoft. We never see or store the password for that account. The sign-in service and our hosting platform set the cookies needed to keep you signed in.
When a member enters their member password, this site sets one cookie of its own: a random unlock code that keeps that browser’s member area unlocked for 30 days. It is HttpOnly (page scripts can’t read it), sent only to this site, and ends when you lock the browser, when your member password is replaced or turned off, or when your membership ends. This site sets no advertising or analytics cookies.
The calculator, checklist, and lesson exercises run in your browser. What you type there stays on your device unless you are signed in and choose to save exercise answers to your account.
Where it is stored and who can see it
Requests and account records are stored in this website’s database with our hosting provider. Only you can see your account records and the requests linked to your account; the site checks your sign-in on every request. The site owner can see requests, questions, membership records, and account records in order to answer you. We share information with service providers only as needed to run the site and our business (including Anthropic for the AI answer box, as described above), and when the law requires it. Our hosting platform’s logs record technical events, such as whether an answer box request succeeded, without the content of your questions. We don’t sell personal information.
This site doesn’t send automatic emails. When you send a request, the confirmation and reference number appear on screen, and we reply personally from admin@deploy316.com. We don’t run an email newsletter. The AI Briefing and weekly member updates are published on this site and in RSS feeds.
How long we keep it
- Requests: as long as needed to respond and to keep ordinary business records.
- Account records, progress, saved items, and questions: until you delete your account or ask us to delete them.
- Membership records: while your account exists, as part of our business records.
- Private feed link fingerprint: until you turn the link off, make a new one, your member password is replaced or turned off, or you delete your account.
- Member password verifier: while your account exists. Unlock records: they stop working after 30 days or when ended, and expired ones are removed the next time you unlock; all are removed if you delete your account.
- AI answer box questions and answers: not stored by this website.
- Security and daily-limit counters: deleted once they are more than two days old, at the site’s next form submission, saved change, or answer box question.
Your choices
- See and correct. Your account shows your requests, membership status, and profile; members also see their questions, progress, and saved items in the unlocked member area. You can edit your profile at any time.
- Delete. Account settings include a delete option that permanently removes your account record, progress, saved items, questions, membership records, member password, unlock records, and feed link. Requests you sent stay with us as business correspondence but are no longer linked to an account. To have a request deleted too, email us with its reference number.
- Ask. For anything else, including a copy of your information, email admin@deploy316.com. We’ll confirm the request comes from you before acting on it.
Children
This site is meant for adults acting for themselves or their organizations. We don’t knowingly collect information from children.
Changes
If we change this notice, we’ll update it here and change the effective date at the top of the page.
